Terms of Service

Version 2026-10

These Terms of Service (the “Terms”) govern the use of ServiceLog, an online service provided by GridEstate. ServiceLog is offered to businesses only. By creating an account or using the service on behalf of a company, you confirm that you are authorised to accept these Terms for that company.

1. Who we are

ServiceLog is provided by [legal entity name] (“GridEstate”, “we”, “us”), a company registered in Estonia under registry code [registry code], with its registered address at [registered address]. You can reach us at hello@gridestate.com.

2. The service

ServiceLog lets service and maintenance contractors (“Customer”, “you”) keep records of their visits, store acts, photos and other documents, track when work is due, and give their own clients (“End Customers”) a page where they can see the records you publish and receive reminders.

We develop the service continuously and may add, change or remove features. We will not materially reduce the core features of a paid plan during a period you have paid for without telling you in advance.

3. Accounts and users

  • Provide accurate account details and keep them up to date.
  • Keep sign-in details confidential. You are responsible for what happens under your account, including the actions of users you invite.
  • Tell us without delay if you suspect unauthorised use of your account.
  • The service is meant for business use. It is not offered to consumers.

4. Free trial, plans and payment

A new account gets a 60-day free trial with all features. No payment card is required. When the trial ends, the account moves to the Free plan (1 site) unless you have chosen a paid plan.

Paid plans are priced per month by the number of sites, as shown on our pricing page. Prices exclude VAT. We invoice paid plans monthly in advance, and invoices are due within [14] days. We may change prices with at least 30 days’ notice; the new price applies from the next billing period.

If an invoice remains unpaid [30] days after its due date, we may limit the account to the Free plan after notifying you. Your records are not deleted because of late payment.

5. Your data

You keep all rights to the data that you and your users put into ServiceLog, including your End Customers’ contact details and service records (“Customer Data”). You give us the rights we need to host, process and display Customer Data in order to provide the service to you and your End Customers.

You are responsible for having a lawful basis to store your End Customers’ data and to send them the pages, invitations and reminders you turn on. We process personal data in Customer Data as your processor under our Data Processing Agreement, which forms part of these Terms.

6. Acceptable use

You must not:

  • use the service for anything unlawful, or to store content you have no right to use;
  • record visits, acts or findings you know to be false;
  • send invitations or reminders to people you have no basis to contact;
  • try to access other customers’ data, probe or break the service’s security, or overload it;
  • copy, resell or reverse engineer the service, except where the law expressly allows it.

We may suspend access that seriously breaches this section. Where possible, we will warn you first and give you a chance to fix the problem.

7. Your records and your obligations

ServiceLog is a record-keeping and communication tool. You remain responsible for the work you do, for the accuracy of the visits, acts, findings and documents you record and publish, and for meeting the rules that apply to your trade, such as fire-safety maintenance requirements. Published records keep a version history: corrections appear as new versions rather than silently replacing earlier ones.

8. Availability and support

We aim to keep ServiceLog available at all times but cannot promise uninterrupted operation. We try to schedule maintenance outside Estonian business hours and to announce longer interruptions in advance. Support is provided by email at hello@gridestate.com on Estonian business days.

9. Security and confidentiality

We protect the service and Customer Data with the measures described in our Privacy Policy and Data Processing Agreement. Each party keeps the other’s non-public business information confidential and uses it only for the purposes of these Terms.

10. Intellectual property

We own the ServiceLog software, design and brand. You receive a non-exclusive, non-transferable right to use the service for your business while your account is active. If you send us feedback or ideas, we may use them without obligation to you.

11. Liability

Neither party is liable for indirect or consequential loss, lost profit, lost revenue or loss of goodwill. Our total liability under these Terms in any 12-month period is limited to the fees you paid us for the service in that period, or EUR [100] if you used only the free trial or the Free plan.

These limits do not apply to damage caused intentionally or through gross negligence, or where applicable law does not allow liability to be limited.

12. Term and termination

These Terms apply for as long as you have an account. You can close your account at any time by writing to us; paid plans end at the close of the current billing period. We may end the agreement with 30 days’ notice, or immediately for a material breach that is not fixed within a reasonable time.

After the account is closed, you can ask for an export of your Customer Data for [30] days. After that we delete it as described in the Data Processing Agreement.

13. Changes to these Terms

We may update these Terms. We will tell you about material changes by email at least 30 days before they take effect. If you do not agree, you may close your account before the change applies. The version label at the top of this page shows which version is current.

14. Governing law and disputes

These Terms are governed by the law of the Republic of Estonia. We will first try to resolve any dispute through negotiation. If that fails, the dispute will be resolved by Harju County Court (Harju Maakohus) in Tallinn.
